Terms & Conditions
1. General
1.1 These Terms and Conditions (“Terms”) govern your participation in the Promise Photography Festival Conference (“Conference”) organised by DataMine Lab SIA trading as Promise Photography Festival (“Organizer”) and your use of the Conference website and associated services.
1.2 The Conference will take place on 08-09 April 2025 at Merķeļa iela 4, Centra rajons, Rīga, LV-1050, Latvia.
1.3 By registering for the Conference, you agree to these Terms.
2. Registration and Payment
2.1 Registration for the Conference is subject to availability and acceptance by the Organizer.
2.2 The Organizer offers different ticket types (e.g., Early Bird, Regular) with varying prices. Ticket prices will increase according to the published pricing schedule.
2.3 All payments are processed by Stripe. The Organizer does not directly collect or store any payment information.
2.4 Payment must be made in full at the time of registration. All tickets are non-refundable once purchased.
2.5 Tickets are transferable to other attendees. If you wish to transfer your ticket, please notify the Organizer at info@promisefestival.eu.
3. Conference Cancellation
3.1 The Organizer reserves the right to cancel the Conference at any time and for any other reason at the Organizer’s sole discretion.
3.2 In the event of a Conference cancellation by the Organizer, all registered attendees will be notified via email and will receive a full refund of their ticket price within 30 days of the cancellation announcement.
3.3 The Organizer shall not be liable for any other costs, damages, or expenses incurred by attendees in connection with a Conference cancellation, including but not limited to travel and accommodation expenses.
4. Intellectual Property and Speaker Presentations
4.1 Speakers are responsible for ensuring they have the necessary rights and permissions for all content included in their presentations.
4.2 By presenting at the Conference, speakers grant the Organizer the right to record their presentation and use short excerpts for promotional purposes on the Conference website, social media, and other marketing channels. The Organizer will not sell or otherwise distribute the full recordings without the express written consent of the speaker.
4.3 The Organizer reserves the right to change the speaker lineup at any time due to unforeseen circumstances. In the event of a speaker cancellation, the Organizer will make reasonable efforts to find a suitable replacement but does not guarantee that a particular speaker will present at the Conference.
4.4 All intellectual property rights in Conference materials provided to participants remain with the Organizer or the relevant third-party owners.
5. Photography and Recording
5.1 Personal, non-commercial photography is permitted during the Conference.
5.2 Audio and video recording of presentations by attendees is not allowed unless express permission is given by the Organizer and the relevant speaker(s).
5.3 The Organizer reserves the right to use any images or recordings taken at the Conference for promotional and marketing purposes.
6. Attendee Conduct
6.1 Attendees are expected to behave professionally and respectfully at all times during the Conference.
6.2 Harassment, discrimination, or offensive behaviour will not be tolerated. The Organizer reserves the right to remove any attendee who engages in such conduct without refund.
6.3 Attendees are responsible for their own property and safety during the Conference. The Organizer will not be liable for any loss, damage, or injury suffered by attendees.
6.4 Attendees must wear their Conference badges at all times during the Conference and present them upon request by the Organizer’s staff.
6.5 Smoking is not permitted inside the Conference venue. Attendees must use designated smoking areas outside the building.
7. Limitation of Liability
7.1 To the maximum extent permitted by law, the Organizer shall not be liable for any direct, indirect, incidental, special, consequential, or punitive damages arising out of or relating to the Conference or these Terms.
7.2 The Organizer’s total liability for any claims under these Terms shall be limited to the amount paid by the participant for their Conference registration.
8. Indemnification
8.1 You agree to indemnify and hold harmless the Organizer, its affiliates, officers, directors, employees, agents, and representatives from any claims, damages, losses, liabilities, costs, or expenses arising out of or relating to your attendance at the Conference or your breach of these Terms.
9. Force Majeure
9.1 The Organizer shall not be liable for any failure or delay in performance under these Terms to the extent caused by circumstances beyond its reasonable control, including, but not limited to, acts of God, war, terrorism, natural disasters, government regulations, strikes, or civil unrest.
10. Amendments
10.1 The Organizer reserves the right to amend these Terms at any time. Any amendments will be posted on the Conference website and will take effect immediately upon posting.
11. Governing Law and Jurisdiction
11.1 These Terms shall be governed by and construed in accordance with the laws of Latvia.
11.2 Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of Latvia.
12. Severability
12.1 If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.
13. Entire Agreement
13.1 These Terms and any documents referred to herein constitute the entire agreement between the parties and supersede all prior agreements, understandings, and arrangements with respect to the subject matter hereof.
14. Waiver
14.1 No failure or delay by the Organizer in exercising any right, power, or remedy under these Terms shall operate as a waiver of that or any other right, power, or remedy.
Privacy Policy
1. Personal Information and Privacy
1.1 The Organizer collects personal information from participants in accordance with the European Union’s General Data Protection Regulation (GDPR) and Latvia’s national data protection laws.
1.2 The personal information collected may include name, contact details, and dietary or accessibility requirements.
1.3 Personal information will be used for the purposes of Conference registration, administration, and communication. It will not be shared with third parties without your consent, except where required by law.
1.4 If you consent, your personal information may also be used for marketing purposes by the Organizer. You can opt out of marketing communications at any time.
1.5 Access to personal data is restricted to authorised individuals only.
1.6 For attendees who do not opt into future communications, their personal information will be stored for a period of 13 months after the Conference end date. After this period, the data will be securely deleted.
1.7 Attendees who opt into future communications will have their data stored until they opt out. At that point, their data will be securely deleted.
1.8 The Organizer uses the following sub processes to provide its services:
– Stripe: Payment processing
– Google Analytics: Website traffic analysis
– Google Ads: Advertising and remarketing services
– Twilio SendGrid: Email delivery
– Meta Platforms (Facebook): Advertising and audience targeting
– MailPoet: Email newsletter management and delivery
– WooCommerce: E-commerce platform and order management
Each subprocessor is subject to its own privacy policy and the terms of the Data Processing Agreement (DPA) signed with the Organizer.
1.9 You have the right to access, update, or request deletion of your personal information by contacting the Organizer at info@promisefestival.eu.
1.10 The Organizer uses Google Ads for remarketing. This means that if you visit our website, you may see ads for the Conference on other websites you visit. Google Ads users can manage, access, and delete their data via the My Activity tool: https://myactivity.google.com/myactivity. You can also opt out of Google’s use of cookies for this purpose by visiting Google’s Ads Settings.
By registering for the Promise Photography Festival, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions and Privacy Policy.
